Privacy policy

Effective 29 October 2026

RetrieveIQ is a property tax compliance service operated from California (“RetrieveIQ”, “we”). This policy explains what we collect when you use our website at retrieveiq.net and our application at app.retrieveiq.net (together, the “service”), what we do with it, and the choices you have. Questions go to support@retrieveiq.net.

What we collect

Account details. When a firm is onboarded, we record the name and work email address of each person it names, and the firm they belong to. When you sign in, our sign-in provider records the time and the method you used.

Sign-in with Google. If you choose “Continue with Google”, Google sends us your name, your email address and your Google account identifier. We use them only to recognise you as the person your firm invited. We request no other Google data, and we never post to or read from any Google service on your behalf.

Property records. Your firm loads the parcels it looks after: parcel numbers, property addresses and the legal entities that own them. We then read each parcel’s tax bills from the county’s own public website and keep the county page as evidence of where every figure came from. Bills and assessments are public records; the list of which parcels your firm looks after is not, and we treat it as your firm’s confidential data.

Documents you upload. A bill or notice you add by hand is stored encrypted and read the same way a county page is.

Requests you send us. If you ask for beta access or write to us, we keep what you sent (your name, email address, firm and message) so we can answer.

Technical data. Our servers log the address, browser and time of each request, as every web service does, so we can keep the service secure and find faults.

How we use it

  • To run the service: fetch bills, check them, work out deadlines, and show your firm its portfolio.
  • To send the emails the service needs: an invitation, a password reset, a bill that needs a look, a deadline reminder.
  • To answer you when you write to us.
  • To keep the service secure and to understand how it is used, in aggregate.

We do not sell personal information, we do not share it for advertising, and we do not use it to train models.

Who else sees it

We use a small number of providers to run the service, each only for its part:

  • Auth0 (Okta) holds sign-in credentials and runs the sign-in page. We never see your password.
  • Google, if you sign in with Google, as described above.
  • Cloudflare carries traffic to and from the service and hosts this website.
  • Resend delivers the emails the service sends.
  • County websites receive the parcel numbers we look up, exactly as a person typing them in would send them. They do not receive your name or your firm’s.

Within the service, a firm sees only its own records and those of clients that have engaged it, and that access ends when the engagement ends. We disclose information outside this list only when the law requires it, or to protect the service and the people who use it.

How long we keep it

Property records, the county pages behind them and the record of every action on a bill are kept for as long as your firm’s account is active, because they are the evidence an appeal or an audit relies on. When an account closes, we delete its data on request and otherwise within a year. Server logs are kept for 90 days. Messages you send us are kept until the matter is closed.

How it is protected

Records are separated by firm in the database itself, every action is recorded with the person and the time, and uploaded documents are encrypted with keys held apart from the data. The security page describes this in more detail.

Your choices

You can see, correct or delete the information we hold about you by writing to support@retrieveiq.net. If you signed in with Google, you can also remove RetrieveIQ from your Google account’s connected apps at any time. California residents have the right to know what personal information is collected, to have it deleted, and not to be discriminated against for asking; we honour those requests from anyone, wherever they live, and we do not sell or share personal information as California law defines those terms.

Children

The service is for businesses and their advisers. It is not directed at anyone under 16, and we do not knowingly collect their information.

Changes

When this policy changes, the date at the top changes with it, and we tell account holders by email about any change that matters to them.
